Turn on attendance automation

Let Striveon ask who is coming, and fill the spot when someone drops out. You set the rules and the timing once.

Automation is off for every new training group, so nothing is sent until you switch it on for a specific group. It also needs athletes who have their own Striveon account with email notifications on: an athlete without one is never invited.

Set your organization's defaults

  1. Open Training Management, Attendance Automation

    What you set here becomes the starting point for every training group. You can adjust each group separately afterwards.

  2. Set the timing

    Four moments, each counted backwards from the training and set in days, hours, or minutes: when an athlete can no longer mark themselves absent, when a substitute can no longer join, when unanswered invites get a reminder, and when the second round goes out if spots remain. The timezone is yours to choose.

  3. Build the primary invite list

    These are the athletes invited first when a spot opens. Combine the rules you want: by skill level, either relative to the group's level or inside an absolute range; athletes who have trainings to cover; and a manual list of athletes who are always invited whatever the other rules say.

  4. Add a secondary list

    Same kind of rules, used only if spots are still open after the primary list has been asked.

  5. Exclude anyone who should never be asked

    Athletes on the excluded list never receive an automatic invitation, even when they match a rule or sit on the always-invited list.

  6. Check the preview

    The preview shows who would be invited, when, and why. Switch on Show only athletes who can receive email invitations to see the list as it will really go out.

  7. Save the defaults

    Select Save default Automation settings.

Turn it on for a training group

  1. Open the training group

    Go to the Training groups tab and open the group you want to automate.

  2. Switch it on

    Select Enable Attendance Automation for this training group. Your organization defaults come with it.

  3. Adjust for this group if it needs it

    Timing, both invite lists, and the exclusions can all differ per group. Reset to defaults puts the group back on the organization settings.

  4. Save the group

    Select Save.

What Striveon does automatically

When a spot opens in a group that is switched on, Striveon asks the primary list and reminds whoever has not answered. If spots are still open, it goes to the secondary list. Every absence and replacement is logged on the athlete's profile.
